The service
Keystone is web software for keeping a rent book: properties, units, tenants, leases, bills, payments, numbered receipts and ledgers, with a portal where tenants see their own records. Keystone records money; it doesn't move it. Rent is paid between you and your tenants, outside Keystone.
Accounts
- You must be at least 18 and give accurate details. One person per login; invite your team instead of sharing a password.
- Keep your password safe. You are responsible for what happens under your account and should tell us at once if it is misused.
- An organization's owner decides who joins its team and which tenants are invited to the portal, and is responsible for having the right to put their details in Keystone.
Acceptable use
Don't use Keystone to:
- break the law, including housing, consumer, tax and data protection law, or keep records you have no right to keep;
- harass, threaten or discriminate against tenants or anyone else;
- send spam, or invite people who haven't agreed to hear from you;
- upload malware, probe or attack the service, get around plan limits, or read another organization's data;
- resell or copy the service, or scrape it with automated tools.
We may suspend accounts that do these things, and we will tell you why unless the law or safety stops us.
Your data
The records you put in Keystone are yours. You give us permission to store, process and display them only to run the service for you, as our Privacy Policy explains; for your tenants' data we act as your processor. You can export your ledgers at any time and ask us for a full copy. We don't sell your data or use it to train AI models.
Plans and billing
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
- Paid plans are subscriptions, billed monthly or yearly in advance, and renew automatically at the end of each period until you cancel. Prices are shown on our pricing page and at checkout; the checkout price is the one you pay.
- Paddle sells the subscription to you, takes the payment, issues the invoice, and calculates and collects sales tax or VAT where it applies. Your purchase is also covered by Paddle's buyer terms.
- You can move up or down a plan at any time in Settings. Moving up applies straight away, and Paddle charges or credits the difference for the rest of the period. Moving to Free cancels the subscription at the end of the period you have paid for.
- If a payment fails, Paddle retries it for a while. If it still fails, the subscription ends and the organization moves to the Free plan. Nothing is deleted; you just can't add more than the Free plan allows until you upgrade again.
- We may change prices. A new price applies from your next renewal after we tell you, never to a period you have already paid for.
- Refunds follow our Refund Policy: a full refund of any charge if you ask within 14 days.
The free plan
The Free plan costs nothing and has every feature, with limits on the number of units and team members shown on our pricing page. We may change Free plan limits; if a change would put you over a limit, nothing you have is deleted, you just can't add more until you are under it or upgrade. Tenants never pay to use their portal.
Availability
We work to keep Keystone running and your records safe, and we back them up. But the service is provided as it is: we don't promise it will never be down, slow or wrong, and there is no service level agreement on the Free plan. We may change or remove features; if we remove something you rely on, we will give paying customers reasonable notice. Keep your own exports of anything you can't do without.
Ending the agreement
- You can stop using Keystone at any time. Cancel a paid plan in Settings; to close your account and delete its records, email hello@1001toolbox.com.
- We may suspend or close an account that breaks these terms or leaves invoices unpaid, or end the service altogether with at least 30 days' notice, refunding any unused part of a paid period in that last case.
- After an account closes, we delete its records as our Privacy Policy describes. Export what you need first.
Disclaimers
Keystone helps you keep accurate records, but it isn't legal, tax or accounting advice, and you are responsible for the figures you enter, the bills you raise and the notices you give tenants. To the extent the law allows, we give no warranties beyond those in these terms, including fitness for a particular purpose.
Limitation of liability
To the extent the law allows, we aren't liable for indirect or consequential loss, lost profits, lost rent or lost data, and our total liability for any claim about the service is limited to what you paid us in the 12 months before the claim. Nothing in these terms limits liability that can't be limited by law, such as for fraud.
Changes to these terms
We may update these terms. We change the date at the top, and for changes that matter we tell account owners by email or in the app at least 14 days before they apply. If you keep using Keystone after that, the new terms apply; if you don't agree, cancel before they do.
Governing law
These terms are governed by the laws of Pakistan, and its courts settle any dispute, unless the consumer law of the country where you live gives you the right to bring a claim there.
